About the Staff Portal

The Staff Portal is an electronic platform that streamlines the management of all grant processes, and enables effective, continuous communication with partners, while serving to archive processes — contributing to the accumulation of experience, easy access to information, and professional knowledge transfer. The platform is intended for all internal partners of the King Faisal Specialist Hospital General Organization, allowing them to apply in accordance with the defined terms and conditions. Each domain represents a strategic objective of the King Faisal Specialist Hospital Charity Foundation, and the benefit of any submitted project must serve the interest of the patient.

Terms and Conditions for Receiving Projects

Introduction

This policy aims to establish a framework for operating and supporting projects for Wareef Charity Foundation, helping it pursue its strategic objectives and meet the needs of stakeholders across the hospital's departments and units — through a set of registration steps and modern, dynamic, and easy procedures and work forms, via the King Faisal Specialist Hospital Charity Foundation's launch of the Staff Portal to receive projects and creative ideas and turn them into impactful projects that serve patients and visitors.

Projects are evaluated according to the following criteria

Routine Projects

  1. Project type and general objective: clarity of the general objective – project quality – the department's/unit's need for it (30 points).
  2. Project outputs: existence of outputs – the target group for the outputs (20 points).
  3. Cost realism: a clear breakdown of costs, with price quotes if needed (15 points).
  4. Follow-up: a defined project scope that facilitates monitoring of implementation stages (10 points).
  5. Number of project beneficiaries (20 points).
  6. Volunteer participation with clearly defined roles (5 points).

Distinguished Projects

  1. Project idea: distinctiveness of the objective – the hospital's need for it – the project's target group (30 points).
  2. Project impact on King Faisal Specialist Hospitals and research centres (25 points).
  3. Existence of an annual plan and budget for the project (20 points).
  4. Number of project beneficiaries (20 points).
  5. Volunteer participation with clearly defined objectives (5 points).

Strategic Projects

  1. Project type: project distinctiveness – project rarity – clarity of the general objective (25 points).
  2. Project outputs: existence of outputs – the target group for the outputs (20 points).
  3. Project impact on King Faisal Specialist Hospitals and research centres (20 points).
  4. Existence of an annual plan and budget for the project (5 points).
  5. Feasibility study and cost realism (10 points).
  6. Number of project beneficiaries (20 points).

Policies, Terms and Conditions

Applying for projects through the Staff Portal of the King Faisal Specialist Hospital Charity Foundation

  Routine Projects Distinguished Projects Strategic Projects
Definition Projects that contribute to meeting patients' needs for basic services. Innovative projects in their objectives that contribute to maximizing benefit and developing the beneficiary. Long-term projects aimed at raising the effectiveness of beneficiary service.
Core Controls
  1. The project must align with the objectives of the King Faisal Specialist Hospital General Organization and Research Centre.
  2. The project must align with the objectives of the King Faisal Specialist Hospital Charity Foundation ("Wareef Charity").
  3. The project must be submitted in the name of a department/unit affiliated with King Faisal Specialist Hospital and Research Centre, across all its branches in the Kingdom.
  4. Obtaining the feedback of the manager of the department/unit/clinic to which the submitted project belongs for the grant request, and appointing a project coordinator from the requesting entity for follow-up purposes.
  5. Projects are approved after the approval of the Charitable Activities and Programs Committee.
Project Controls
  • The project cost must not exceed (200) thousand SAR.
  • The project is closed within a maximum period of one year from its start.
  • The project cost must not exceed (500) thousand SAR.
  • The implementation period must not be less than one year and not exceed 3 years.
  • The project cost must not be less than (500) thousand SAR.
  • A rigorous feasibility study for the project must exist.
  • The implementation period must not be less than one year and not exceed 5 years.

How the Staff Portal Works

  1. Creating a grant request by the beneficiary and hospital departments: The applicant completes all the data on the (Create Grant Request) page in full, attaching the direct manager's approval and a declaration of data accuracy, then saves and submits the request.
  2. Projects Department Manager: Fills in the data, then forwards it for technical arbitration.
  3. Programs and Activities Committee: Technical arbitration is added, and a choice is made from the task list on the left of the page (within budget or outside budget, reject, accept, ..).
  4. Executive Committee: Reviews all entered data, then chooses: suspend – return to the applicant – accept – reject.
  5. Justifications approval: The project manager fills in the justifications, which are approved by the Projects Department Manager and then sent for approval by the CEO — or they are filled in directly by the Projects Department Manager.
  6. CEO: Chooses either to return to justifications approval or to approve the contracting.
  7. Project Manager: Begins the periodic evaluation and follow-up through to the project's end (closure).
